1. Licensed Company Secretary at Melanie Legal

Melanie Legal is a reputable law firm committed to providing high-quality legal services in Malaysia. We are currently seeking a highly motivated and experienced Licensed Company Secretary to join our dedicated team. This role is vital in ensuring our compliance and supporting our corporate secretarial functions as we continue to grow and serve our diverse clientele.

Responsibilities:​
As a Licensed Company Secretary, you will be responsible for ensuring compliance with the Companies Act 2016 and other relevant regulations. Your duties will include:
​
  • Maintaining statutory registers and records.
  • Organizing and attending board meetings and preparing minutes.
  • Filing of statutory documents with the Suruhanjaya Syarikat Malaysia (SSM).
  • Advising the board on corporate governance matters.
  • Handling company resolutions and agreements.
  • Managing annual general meetings and other shareholder meetings.
  • Ensuring timely submission of financial statements and annual returns.
  • Liaising with internal and external stakeholders, including auditors, tax agents, and regulatory bodies.

Requirements:
  • Must be a Licensed Company Secretary registered with the SSM or a member of a recognized professional body such as MAICSA.
  • Proven experience in corporate secretarial practice.
  • Strong knowledge of the Companies Act 2016 and other relevant laws and regulations in Malaysia.
  • Excellent command of English and Bahasa Malaysia, both written and spoken.
  • Meticulous, organized, and able to manage multiple tasks effectively.
  • Strong interpersonal and communication skills.

2. Finance Administration Officer/Assistant

Melanie Legal, a growing law firm providing a range of legal services, is seeking a diligent and organized Finance Administration Officer/Assistant to join our administrative team. This role is ideal for someone with a financial background who is also adept at managing front office duties and providing administrative support.

Responsibilities:​​
  • Handling day-to-day financial administration tasks, including processing invoices, payments, and expense claims.
  • Assisting with bookkeeping and maintaining financial records.
  • Preparing basic financial reports or summaries as required.
  • Managing petty cash and bank deposits.
  • Serving as the first point of contact for clients and visitors at the reception area.
  • Answering and directing phone calls and managing correspondence.
  • Maintaining office supplies and managing vendor relationships related to office administration.
  • Providing general administrative support to the legal and administrative team.
  • Maintaining an organized filing system for both physical and digital documents.
  • Performing other administrative or finance-related tasks as assigned.

Requirements:
  • Proven experience in finance administration or a related financial role.
  • Solid understanding of basic accounting principles.
  • Experience in a receptionist or administrative support role is an advantage.
  • Proficiency in using accounting software and Microsoft Office Suite (Excel, Word).
  • Excellent organizational and time management skills.   
  • Strong communication and interpersonal skills.
  • Ability to multitask and manage priorities effectively.   
  • A meticulous and detail-oriented approach to work.
  • Ability to work independently and as part of a team.
  • Minimum SPM qualification or equivalent; a diploma or degree in accounting, finance, or business administration is a plus.
